Terms of Service

Effective July 18, 2026 · Applies to Vacadock — the vacadock.com and app.vacadock.com websites and the Vacadock iOS and Android apps.

These Terms of Service (“Terms”) are an agreement between you and Vacadock (“we”, “us”) governing your use of the Vacadock trip-planning service. By creating an account or using Vacadock, you agree to these Terms and to our Privacy Policy, which explains how we handle your information. If you don’t agree, please don’t use the service.

1. The service

Vacadock is a planning and organization tool for trips: a shared itinerary, a place to keep booking records and documents, email forwarding that files confirmations to the right trip, and an AI assistant that answers questions about your plans. Vacadock is currently free to use. It is a small, actively evolving product — features (including AI features and any usage limits) may change, be added, or be discontinued, and we don’t promise the service will always be available or uninterrupted.

2. Eligibility and your account

You must be at least 13 years old — or the higher minimum age required for digital services in your country — to have a Vacadock account. Trips are meant to be managed by the adults planning them.
Keep your sign-in method secure. You’re responsible for activity on your account, and for making sure the information you give us is accurate.
You may close your account at any time by deleting it in the app (Profile → Delete account); deletion is immediate and permanent, as described in the Privacy Policy.

3. Your content

Your trips, bookings, notes, forwarded emails, uploads, and messages are yours. You keep every right you have in them. So that the service can function, you grant us a limited, non-exclusive, worldwide, royalty-free license to host, store, reproduce, process, and display your content — including processing it through the third-party service providers and AI model providers named in the Privacy Policy — solely to operate and provide the service for you and the people you share your trips with. This license does not permit us to use your content to train AI models, and it ends when the content is deleted, except for the limited operational copies described in the Privacy Policy.

You are responsible for the content you add. That includes information about other people — travelers you add to a trip, household members, and people mentioned in emails you forward. Only add information and forward emails you have the right to share.

4. Email forwarding

Each trip’s private forwarding address exists to file your travel confirmations. Forward only email you have the right to share, and only add addresses to a trip’s Authorized senders list with the sender’s knowledge. Don’t use the forwarding address as general-purpose storage or route mail to it in bulk.

Sharing is all-or-nothing by design: everyone you invite to a trip can see and edit the whole trip — including its bookings, forwarded emails, and assistant conversations. If you create or join a household, everyone in it automatically gets that same access to every trip each member owns. Think before you invite or link accounts; you are responsible for who you give access to. Trip owners can remove collaborators and disable invite links at any time from the trip’s Share screen.

6. AI features

Vacadock’s assistant, booking extraction, suggestions, and trip illustrations are generated by AI models. AI output can be wrong — incomplete, outdated, or mistaken — even when it sounds confident and cites sources.
Always verify anything that matters against official sources before relying on it: flight times, prices, availability, opening hours, visa/passport and entry requirements, and health or safety information. Extracted bookings are drafts for your review, and confirming them is your responsibility.
AI output is not professional advice of any kind (legal, medical, financial, or safety).
Don’t misuse the AI features: no attempting to bypass usage limits or safety constraints, no bulk or automated generation, and no using them to produce unlawful, harmful, or deceptive content. If the assistant ever produces something offensive, tell us at [email protected] and we’ll act on it.

7. Bookings belong to their suppliers

Vacadock is an organizational tool, not a travel agency. We don’t sell travel, take payments, make reservations, or become a party to any booking. Your actual reservations exist solely between you and the airline, hotel, or other supplier, under that supplier’s terms — a booking record in Vacadock is our best reading of your confirmation, not proof of a valid reservation. Activity suggestions may link to Viator, where any purchase happens on Viator’s site under Viator’s terms (we may earn an affiliate commission). We are not responsible for supplier cancellations, changes, pricing errors, or the quality of any travel service.

8. Acceptable use

Don’t use Vacadock to break the law or harm others. In particular, don’t:

upload or share content that is unlawful, infringing, or harassing, or that you don’t have the right to share;
impersonate others or misrepresent who you are;
probe, disrupt, or overload the service, scrape it, or access it by any means other than the interfaces we provide (including abusing connected assistants like ChatGPT or Claude to do so);
reverse engineer the service except where the law says we can’t stop you;
resell or commercially exploit the service without our written permission.

9. Third-party services

Vacadock is built on third-party services — sign-in with Google or Apple, Google Maps, AI model providers, Viator, and the app stores — and links out to others. Your use of those services is governed by their own terms and policies, and we aren’t responsible for them.

10. Apps from the App Store and Google Play

The mobile apps are distributed through Apple’s App Store and Google Play (including their beta channels, such as TestFlight), where available, and your use of them must also comply with the applicable store’s terms. Apple and Google are not parties to these Terms, have no obligation to provide maintenance or support for the app, and are not responsible for the service or for addressing any claims relating to it; Apple and its subsidiaries are third-party beneficiaries of these Terms with respect to your license to use the iOS app.

11. Termination

You can stop using Vacadock or delete your account at any time. We may suspend or terminate accounts that violate these Terms, create risk for us or other users, or as part of discontinuing the service — if we ever discontinue Vacadock, we’ll give you reasonable advance notice so you have time to save anything you need from your trips (for example, your documents and booking details). Sections of these Terms that by their nature should survive termination (your content responsibilities, disclaimers, limitations of liability, and indemnity) survive it.

12. Disclaimers

Vacadock is provided “as is” and “as available”, without warranties of any kind, express or implied — including implied warranties of merchantability, fitness for a particular purpose, non-infringement, and accuracy — and we don’t warrant that the service will be error-free, secure, or uninterrupted, or that AI output will be correct. Some jurisdictions don’t allow certain warranty exclusions, so some of these may not apply to you.

13. Limitation of liability

To the fullest extent permitted by law: we will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or travel disruption — including missed flights, cancelled reservations, or costs incurred by relying on AI output or on a booking record in Vacadock. Our total aggregate liability for all claims relating to the service is limited to the greater of one hundred US dollars ($100) or the amount you paid us in the twelve months before the claim (Vacadock is currently free, so that amount is $0). Nothing in these Terms limits liability that cannot be limited by law — including for gross negligence or willful misconduct — and if you are a consumer in the EU, UK, or another jurisdiction with mandatory consumer protections, you keep every right those laws give you.

14. Indemnification

If a third party brings a claim against us arising from your content (including emails you forwarded or information you added about other people), your misuse of the service, or your violation of these Terms, you agree to indemnify us against the resulting liabilities, damages, and reasonable legal costs.

15. Governing law

These Terms are governed by the laws of the State of Texas, USA, without regard to its conflict-of-laws rules, and disputes will be resolved in the state or federal courts located in Texas — except that if you are a consumer in the EU, UK, or elsewhere with non-waivable local consumer protections, you retain the benefit of those protections and the right to bring proceedings in your local courts. Either party may bring qualifying claims in small-claims court instead.

16. Changes to these Terms

If we make material changes to these Terms, we’ll notify you by email or with a notice in the app before they take effect and update the effective date above. Continuing to use Vacadock after the changes take effect means you accept them; if you don’t, delete your account before then.

17. Miscellaneous

These Terms and the Privacy Policy are the entire agreement between you and us about the service. If any provision is found unenforceable, the rest remain in effect. Our not enforcing a provision isn’t a waiver of it. You may not assign these Terms; we may assign them as part of a sale or reorganization of the service, with the same protections continuing to apply.
